Assign previously uploaded documents to additional locations

This article will discuss how to assign documents that have been uploaded previously to additional locations for WELL at scale or WELL Ratings accounts. These instructions do not apply to WELL Health-Safety Rating accounts created before April 18, 2023–those accounts must use the multiple location document sharing form.

You may assign Shareable or audited documents that were previously uploaded to your scorecard to additional locations (in the case of WELL at scale, the additional locations must match the WELL at scale scorecard version). Audited documents can only be assigned to locations that have been designated as audit locations. You cannot assign Individual documents to more than one location. 

Documents that were initially uploaded to an individual location's scorecard cannot be assigned to additional locations using this process.

Shareable documents

    • If a shareable document has already been reviewed and approved in a previous review cycle, it will not be reviewed again. Any locations the document is assigned to will achieve the corresponding features in the next round of review.
    • Assigning a shareable document to additional locations that were not previously marked as pursuing the feature may result in new audit locations being assigned if the feature part also requires audited documentation. Check the ‘Tasks’ section of the feature on the Scorecard or in the Documents Library to confirm audit locations.
      • Feature part N02.3 requires both a letter of assurance (shareable) and photographs (audited). You are currently pursuing feature part N02.3 at 5 locations and have already uploaded a letter of assurance (a shareable document) and assigned it to those 5 locations. N02.3 also requires an audited document as verification (on-site photographs). With 5 locations assigned to the part, audit documents are required for 2.
      • You decide to assign the letter of assurance to an additional 4 locations. Those 4 locations will then be automatically marked as pursuing N02.3, bringing your total count of locations pursuing it to 9. Due to the way audit locations are calculated (the square root of the number of locations pursuing a feature), you must now provide audit documents for one additional location (√9=3)

Audited documents

Previously uploaded audited documents can only be assigned to additional locations that have already been designated as audit locations.

Individual documents

You cannot assign individual-scale documents to more than one location. If you plan to use a previously uploaded individual-scale document for additional locations, you must reupload the document and assign it to the applicable locations following the process for initial document uploads.

For WELL at scale accounts: If the document has been reviewed previously, it will be reviewed again for the new locations in the next review cycle.

Assign documents to additional locations

You may assign previously uploaded documents to additional locations from either the Scorecard tab or Documents Library tab. See the instructions below to learn how.

    1. Go to your account's Scorecard tab.
    2. Find the feature that the document you want to modify is assigned to.
    3. Click the feature to expand it.
    4. Open the ‘Verification’ sub-tab.
    5. Scroll down to the Documents section.
    6. Find the document you want to modify and hover over the three dots in the last column.
    7. Assign the document to additional feature parts if needed, then click 'Save and continue'.
    8. Check the box next to the additional locations to which you would like to assign the document.
    9. Click 'Save and continue' if you have more locations to assign, or 'Save and exit' if you are done.
    1. Go to your account's Documents Library tab.

    2. Find the document you want to assign to additional locations.

      • If you know the name of the document or location it is currently assigned to, use the search box to find it. You can also use the Filters button to help locate it.

    3. Click the three dots next to the document you want to assign to additional locations.

    4. Assign the document to additional feature parts if needed, then click 'Save and continue'.

    5. Check the box next to the additional locations to which you would like to assign the document.

    6. Click 'Save and continue' if you have more locations to assign, or 'Save and exit' if you are done.
