Frequently asked questions about WELL at scale review results

After receiving your review and reading your report, you may have some questions about the results. These questions are often related to these areas:

  1. A document was uploaded and approved, but the associated feature part is listed as Partially Met or no points were awarded on the ‘Scoring by Part’ tab
  2. A document was uploaded but the associated feature part is listed as Pending on the ‘Scoring by Part’ tab.
  3. A document was uploaded, but it does not show on the Document Rulings tab.

This section will describe scenarios where you can see that your document was approved on the Document Rulings tab, but the Scoring by Part tab lists the feature part as Partially Met or has a blank.

  • One possible explanation is that this feature part requires multiple documents (for example, on-site photographs and a letter of assurance). Start by reviewing the feature requirements and verification document requirements for the feature in your WELL digital scorecard, and ensure that you have uploaded all documents, and tagged them appropriately to the right location. Note that documents cannot be split for the same feature between the WELL at scale and location-level scorecards; the same scorecard must include all required documents for the feature. 

    You can also check the Tasks section under each feature in the Scorecard or in the Documents Library to make sure you have uploaded all of the required documents.

    To achieve a feature part with AND options, you must upload documents that successfully satisfy all of the required options–partial achievement is not possible. For example, feature C01.1 has two options which are both required:

    In this case, both options require a policy/operations schedule, but you must tag a document to each option within the same scorecard. This may be the same document in some cases but you must assign the document to both options. 

    You can see in the example below that a document was assigned to Option 1: WELL feature guide and approved during the review, but there is no document assigned to Option 2: Communications. To successfully earn this feature part in a future review, the project team could:

    • Upload a new document for option 2: Communications

    • Assign the previously uploaded document from option 1 to option 2 if it applies to both (be sure to clarify which sections of the document apply to each option in this case)

    Some feature parts also require multiple verification methods even if they only have one option. For example, N02.1 option 1 requires both on-site photographs and a letter of assurance. Check the verification requirements in your Scorecard or the WELL standard.WELL at scale review result FAQs 3.jpg

    You can also check the Tasks section under each feature in the Scorecard or in the Documents Library to make sure you have uploaded all of the required documents (unless the location in question is enrolled under a different version of WELL or different addenda than the WELL at scale scorecard).

     

  • Another possible explanation for a feature part not being met is that all of the document requirements for the location in question were uploaded, but the audit requirements for other locations were not fulfilled. Check your digital WELL at scale scorecard to view if the feature has any audit requirements, if those document(s) were uploaded, and the relevant rulings.  Note that documents can NOT be split for the same feature between the WELL at scale and location level scorecards; the same scorecard must include all required documents for the feature.

    For example, in the image below from the Scorecard, you can see that on-site photographs are required for 2 locations out of the 6 total that are pursuing this feature.

    In this example, the team has submitted a letter of assurance for all 6 locations, but none of the required audit documents have been submitted. Regardless of the status of the letters of assurance, these locations cannot earn credit for this feature part–even those that were not selected as audit locations. All pending audit requirements must be fulfilled before any non-audited locations can achieve this feature part.

  • If no points were awarded but you have confirmed that all of the required documents have been uploaded, make sure that:

    • The location is not listed as under construction. Locations under construction cannot earn points. Check column E on the Achievements Summary page to verify the location’s construction status.
      • You can update the location’s construction status on the Locations tab in your digital account when the project is completed. 
    • The documents you uploaded are implementation-stage, not intent-stage. You cannot earn points using intent-stage documents. Check column T (Intent Stage) on the Document Rulings tab to verify that the documents are not intent-stage.
      • If your project is construction complete on the Locations tab and you mistakenly uploaded an intent-stage document, re-upload it as implementation stage for your next review round.

There are several possible explanations for this issue:

  • The simplest explanation is that the assigned document(s) was not approved because it didn’t fulfill the feature requirements. To check, open the Document Rulings tab of your progress report and find the document required for the feature part and location; view the ‘Status’ column.The Review Comments section will explain the ruling.Make sure to check in your digital account scorecard if the feature part requires multiple documents, and that all required documents have been approved.

  • This status may also occur when a feature requires multiple documents and one or more documents were not approved. Make sure to check in your digital account scorecard if the feature part requires multiple documents, and what those documents are. Then open the Document Rulings tab of your progress report and filter for the feature part and your location. Confirm if there are any pending documents (see Status column) or missing documents to achieve the feature.

     

Document was uploaded, but it does not show on the Document Rulings tab

This can occur if a feature part requires more than one document for verification, but some documents are uploaded to the WELL at scale Scorecard or Documents Library, and others are uploaded to the individual location account Scorecard or Documents Library. 

For example, L02.1 requires both a performance test and a technical document. You cannot upload the performance test to the WELL at scale account and the technical document to the individual account’s Scorecard or Documents Library (or vice versa). This will cause one of the documents to be missed in your review.

All documents for each feature part must be either: 

  • Uploaded from either the WELL at scale or individual location account

OR

  • If the upload is split between accounts, use the Assigned Tasks tab in the individual location account 
    • Note that the Assigned Tasks tab can only be used when the location and WELL at scale scorecards use the same version of WELL and same addenda version. If the location’s version is different from the WELL at scale version, you must upload all documents to the individual location account’s Scorecard or Documents Library.
