Upload documents to your account

Documents can be uploaded to WELL Online as they are prepared. To submit your documentation, you can choose between uploading it directly to your Scorecard or uploading it in the Documents tab of your project account. The instructions in this article apply to all WELL at scale, WELL v2 and v2 pilot Certification, and WELL Ratings.

In order to upload documentation, you must sign the WELL Agreement and pay all registration invoices. 

Acceptable file types include .doc/.docx, .pdf, most standard image formats (.jpg, .jpeg, .png, etc.), or .xls/.xslx.

  • .zip files are allowed for v2 pilot and v2 projects for the "Performance Test" and "On-site photograph" document type. The maximum file size is 500MB.
  • 3D image files and file formats used by CAD software (.dwg, .dwx, etc.), are not supported.
    • All features that you marked as “Yes” when completing your scorecard must have the required verification methods uploaded and tagged appropriately to the relevant locations. Keep reading to learn how to upload documentation to your Scorecard. You may also assign previously uploaded documents to additional features.

      You can upload documents from either the WELL at scale scorecard or the individual location scorecard.

      All documents for a feature part must be uploaded in the same location account (e.g., M09.2 requires both a professional narrative and a technical document - you cannot upload the professional narrative to the individual scorecard and the technical document from the WELL at scale scorecard.)

      You cannot assign documents to locations under construction or major renovation from your WELL at scale scorecard. You must use the individual location scorecard for those locations.

      1. Go to the Scorecard sub-tab listed under the WELL v2 tab of your WELL at scale dashboard.

      3. Scroll down to the "Tasks" section and click "Upload" on the option and verification method for the file which you are uploading.A screenshot showing the location of the Upload button under the Tasks section
      4. If the document you are uploading applies to additional feature part(s), click "Add feature part(s)," select the additional feature part to which your document applies, then click "Add Part." Repeat as necessary for additional feature parts. Be sure to annotate the document to indicate which sections apply to which feature part!Uploading your WELL at scale documentation 3.png

      5. In the “File Upload” section, click the box or drag and drop a file to upload.A screenshot showing the file upload button

      6. After your document is attached, add any necessary comments to the “Add a note” field. 

      7. Click “Save and continue".

      8. Select the locations to which the document applies. You may select individual locations, all locations on the page, or all locations within the account.

        • To select individual locations, check the box next to the location's name and repeat as needed.

        • To select all locations on the page, check the box at the top of the first column.

        • To select all locations within your account, check the box at the top of the first column to select all locations on the page, then click "Select all locations."A screenshot showing a user clicking the Select all locations button

      9. Click 'Save and exit' if you are finished adding locations, or 'Save and continue' if you have more to add.


    • These steps apply to WELL Equity Rating and WELL Performance Rating projects, as well as WELL Health-Safety Rating projects created after April 18, 2023. For Health-Safety Rating projects created before that date, scroll down to the next section.

      1. Open your WELL Health-Safety, WELL Performance Rating or WELL Equity Rating project and click the Scorecard tab on the left side of the screen.
      2. Click the feature for which you would like to upload documentation.
      3. Click the “Verification” tab within the feature.
      4. Assign the feature part to locations by clicking the "Edit locations" or "Assign locations" button under the "Selected options" section if you have not already done so.
      5. Under the “Tasks” section, find the entry that describes your document and click Upload (e.g., if you are uploading sensor data, be sure to click Upload on the line that corresponds to sensor data).
      6. If a feature requires audited documentation, you only need to upload documents for the locations selected for audit - learn more about audit requirements.A screenshot showing the Upload button for audited features
      7. Confirm that the selected feature part is correct. If the document also applies to any other feature parts, you may select them in the Add Feature Part(s) section.
      8. Under the “File Upload” section, either click Upload a File or drag and drop the file from your computer.
      9. Add any comments for the reviewer in the "Add a note" section, if desired.
      10. Click Save and Continue.
      11. Confirm the locations you want to assign the document to. Check the box next to a location to add or remove it.

        • If you have a large number of locations, you may find it helpful to use the search bar or filters to narrow down your selections.

        • You will see 10 locations per page. After making all necessary changes on a page, click 'Save and continue', then click the arrows or a page number to go to the next page.

        • To assign to all locations on the page, check the top box in the first column.       Health-Safety Rating projects enrolled before April 18, 2023

      These instructions apply only to Health-Safety Rating projects created before April 18, 2023. All other Health-Safety Rating projects should refer to the Ratings tab.

      1. Click Scorecard in the left-side navigation bar of your WELL Health-Safety Workspace.
      2. Select a feature, scroll down to the "Next Steps" section and click the + symbol in the documents table.
      3. In I would like to, select the document type. The options are as follows:
        • Upload an audit document.

          • Only relevant for multiple location submissions.

        • Upload verification of a WELL feature.

          • Add the require verification methods here and select the relevant feature.

      4. Select how many locations the document is being assigned to in Does this verification apply to a single location, multiple locations or subsets, or all locations?
      5. Select the aligned Verification method. The choices will narrow based on the feature selected.
      6. In File, select the file to be uploaded.
      7. Click Upload.

       

    • Submit documentation from the Scorecard tab in your project:

      1. Log in to your WELL account and open your project.
      2. Click Scorecard in the left menu bar.
      3. Navigate to the WELL concept and feature you want to add a document to > expand the Next Steps section.
      4. Click the ⊕ symbol button in the documents widget.
      5. Select the applicable verification method from the dropdown menu.
      6. Only for locations that are part of a WELL at scale subscription:
        • Choose the feature part, option and space type.
      7. Click Choose File.
      8. Click Upload.
  • The document upload process is different depending on how you are engaged with WELL. Be sure to choose the correct tab below. Health-Safety Rating projects created before April 18, 2023 must use the instructions on the "Health-Safety" tabs. All other Ratings projects, see the "Enhanced scorecard" tabs.

    • To upload a document from your Documents Library, follow these steps:

      Use this option to select a feature part and apply a document to locations pursuing that feature.
      1. Go to the Document Library sub-tab listed under the WELL v2 tab of your WELL at scale dashboard.

      2. Check the Tasks tab of the Document library to see which documents are needed. You can filter by location, concept, verification type and more.

      Features that you have chosen to pursue which require document uploads will show as “Pending”. Once you have uploaded all necessary documents for a feature part, the status will change to “Fulfilled”.A screenshot showing the Tasks List and Pending Tasks filter

      1. After your document is attached, add any necessary comments to the “Add a note” field. 

      2. Click "Save and continue."

      3. Select the locations to which the document applies. You may select individual locations, all locations on the page, or all locations within the account.

        • To select all locations on the page, check the box at the top of the first column.

        • To select all locations within your account, check the box at the top of the first column to select all locations on the page, then click "Select all locations."

      Audit documents

      Not applicable features

      • If a feature does not apply to a location, select the 'not applicable' option if available within your scorecard version. Once you have assigned the 'not applicable' option to the necessary locations, a placeholder document will be added automatically. Leave a comment in the "Add a note" box providing any additional context or information to explain why it does not apply.

        • Only preconditions can be considered not applicable. If an optimization does not apply to your project, you should choose a different optimization instead. You cannot achieve points for a not applicable optimization.

      • Alternatively, if additional details are needed to explain why a file may not be relevant (for example, no commercial kitchen on-site) and the 'not applicable' option is not available, please provide this brief explanation within the uploaded and tagged file so that the WELL Reviewers can access this information as part of their reviews process.A screenshot showing the Upload button

      In some situations, the Tasks section of your scorecard may show that no locations or fewer locations than expected are pursuing an audited feature even though there are locations listed as Pursuing in the Options section. This may occur when the number of audit documents provided as part of a previous review meets the audit requirements even after adding additional locations to your subscription.

      Ten locations within your subscription have achieved feature M05.1, an audited feature. To achieve this feature, you have provided audited documents for 3 locations. (√10 = 3.16, rounded down to 3).

      After your review, you decide to pursue M05.1 at 3 additional locations, bringing the total to 13. The 3 documents you uploaded previously will satisfy the documentation requirements for this feature (√13 = 3.6, rounded down to 3)–no additional audit documentation is required for the next review.A screenshot showing an example of an account that does not require additional audit documentation after adding locations

    • These steps apply to WELL Equity Rating and WELL Performance Rating projects, as well as WELL Health-Safety Rating projects created after April 18, 2023. For Health-Safety Rating projects created before that date, scroll down to the next section.

      Before uploading documents, feature parts must be assigned to locations.

      1. Open your WELL Health-Safety, WELL Performance Rating or WELL Equity Rating project and click the Documents Library tab on the left side of the screen.

      2. Check the "Tasks" section of the Document Library to see which documents are needed. You can filter by location, action area, verification type and status.

        • Features that you have chosen to pursue which require document uploads will show as “Pending”. Once you have uploaded all necessary documents for a feature part, the status will change to “Fulfilled”.

        • Click the "number of locations" text to see which locations documents must be uploaded for.

      4. If the document applies to additional feature parts, click "Add feature part(s)," select the feature part to which your document applies, the space type and option number if necessary (they will automatically pre-populate if no choice is needed), then click "Add Part." Repeat as necessary for other feature parts.       5. In the “File Upload” section, click the box or drag and drop a file to upload.

      9. Once you have added all locations, click 'Save and exit'.

      Health-Safety Rating projects enrolled before April 18, 2023

      These instructions apply only to Health-Safety Rating projects created before April 18, 2023. All other Health-Safety Rating projects should refer to the section above.

      1. Click Documents in the left-side navigation bar of your WELL Health-Safety Workspace.
      2. Select Add New.
      3. In I would like to, select the document type. The options are as follows:
        • Upload the requested general information items.

        • Upload a legal document.

          • If the terms & conditions have been signed outside of the enrollment process, upload it here.

          • Also includes change of owner agreements.

        • Upload an audit document.

          • Only relevant for multiple location submissions.

        • Upload verification of a WELL Feature.

          • Add the required verification methods here and select the relevant feature.

      4. In Upload, click Choose File > Upload.
      5. Add any comments for the reviewer, if desired.
      6. Click Submit.
      1. Log in to your WELL account and open your project.
      2. Click Documents in the left menu bar.
      3. Click Upload Document.
      4. Select your Document Type.
      5. If the document type is Feature, select the verification method and part. If it is an Ongoing Data Report, select the part and time period.
      6. Click Upload a File and select the file to upload.
      7. Add any comments for the reviewer (available to locations associated with a WELL at scale subscription only).
      8. Click Submit.
