This article identifies some of the most common reasons that documentation for feature C02.1 - Facilitate Stakeholder Charrette - is marked as pending in preliminary/round 1 reviews. This guidance does not include all possible reasons for a pending status, but provides information and context based on common review issues. 

Provide a document for both requirements

To achieve C02.1, you must fulfill both the “Stakeholder charette” and “Stakeholder orientation” options. You must upload a document for both options in your account. A combined document could be acceptable as long as it meets all requirements.

For WELL at scale projects, if you use a combined professional narrative to fulfill both “Stakeholder charette” and “Stakeholder orientation,” you must assign the document to both options.

Provide a clear, project-specific narrative about your stakeholder charette

The “Stakeholder charette” section of this feature requires you to facilitate a collaborative discussion with key stakeholders including the owner, facilities manager, architects and engineers, contractors, employees or other occupants, and community members if your project/organization has a substantial impact on the surrounding community, in order to define health, well-being, equity and sustainability goals.

Your documentation should clearly describe:

  • The key stakeholders that participated in the discussion
  • The topics addressed during the discussion
  • How the stakeholders defined health, well-being, equity and sustainability goals

Be sure to describe your organization’s charette rather than simply using the language from the feature. Include project-specific language that describes how your project fulfilled the requirements for this feature. 

Define health, well-being, equity and sustainability goals

The “Stakeholder charette” section of this feature requires your organization to work with stakeholders to define goals in the following areas:

  • Health and well-being
  • Health promotion
  • Equity
  • Environmental/sustainability

To successfully achieve this feature, you should state clear, well-defined goals for each topic and avoid vague statements like “The project will promote health and well-being for all employees.”

Your goals might include: 

  • Achieve WELL Certification at the Gold level
  • Offer comprehensive health benefits for all eligible employees
  • Achieve a third-party green building certification
  • Purchase 100% sustainably forested woods
  • etc.

The sample documentation mentioned above contains additional examples as well as sample formatting that you can reference as you prepare your documentation. 

Document tour availability and contents

The “Stakeholder orientation” requirement of this feature part states you must offer tours of the space communicating how existing building operations, maintenance, programs and policies support adherence to WELL requirements to all stakeholders in the development process as well as new employees. 

Rather than simply stating that tours are available, your documentation should state how and when/how often these tours are offered (e.g., are tours offered individually to all new hires when they start, once a month in groups, etc). 

You should also include a description of what is included in the tour.

  • Not acceptable: A tour will be provided for all stakeholders and new employees.
  • Acceptable: An orientation meeting was held for all stakeholders upon building completion. The meeting was recorded and will be provided to new employees at orientation. The meeting discussed the following topics:
    • What is WELL Certification?
      • Which features is the project pursuing?
      • Which project aspects contribute to the certification:
        • Programs:
          • Ex: Complimentary influenza vaccines are offered annually.
          • Ex: Meditation sessions are held in the large conference room Tuesdays and Thursdays before work.
          • Ex: Healthy snacks are provided in the employee pantry.
        • Policies:
        • etc.

Be clear about the timing of implementation

A frequent issue with documentation for this feature part is stating that something will be done in the future; however, the strategies should already be in place at the time of submission (e.g., the stakeholder charette should have already occurred). Your documentation should clearly indicate that the stakeholder charette has already been held, and that a plan is in place for future orientation/tours for new hires, etc.
