Documents with the “Performance testing” or “Performance testing OR Sensor data” verification method that have been approved during a review are valid for 3 years, aligned to your next subscription renewal date.
Your organization’s subscription renewal date is January 1 of each year.
You submit a performance verification document for review and it is approved on July 1, 2025. This document is valid for 3 years.
Three years from the initial approval date is July 1, 2028. However, because the renewal date for the document is aligned with the subscription date, the document would be due for renewal on January 1, 2029.

One year before the expiration date, you will see two indications within your WELL at scale scorecard warning you that at document will be due for renewal soon:
- A banner will appear at the top of the Dashboard and Scorecard tabs
- A warning icon will appear on the Scorecard for each feature with expiring documentation
Find expiring/expired documents
You can see the expiration date for reviewed performance verification documents at any time from the Scorecard or Documents Library.
You can also use filters to help you find expiring or expired documents from the Scorecard or Documents Library.

Once you see the notification informing you that you have expiring documents, follow these steps to find them.
- Open your Documents Library and go to the Documents tab.
- Click the “Filters” button.
- For v2: under Verification, choose “Performance Test” and “Performance Test OR Sensor Data”
- For v2 pilot: click “On Site” and choose “Performance Test“
- Under Review Status, choose “Expiring soon” and “Expired”.
- Click Apply
- You will see your document expiration dates in the Status column.

- Open your Scorecard.
- Click the “Filters” button.
- For v2: under Verification, choose “Performance Test” and “Performance Test OR Sensor Data”
- For v2 pilot: click Verification > choose Performance Test under the On-site verification menu
- Look for features with a warning icon

- Open the Verification tab for the feature and scroll down to the Documents section. You will see the expiration date in the Status column.
Replace or archive documents
Once you have identified the documents that expire soon or have already expired, you have two options to proceed:
If you choose to archive a document, you must then upload a new document or you will lose any achievements/points related to the feature parts verified by this document in your next review.
Locations that achieved milestones outside of WELL at scale
For locations that achieved milestones (Certification/Rating) outside of your WELL at scale account and were then added to your WELL at scale account, you will see placeholder documents for performance verification features. This placeholder document applies only to the currently assigned location and cannot be assigned to other locations and will expire on the expiration date listed for the document.
Therefore, this placeholder document cannot be replaced. You must archive the placeholder document and then upload the updated performance verification document at the time of renewal.
Feature parts that do not require new performance testing data
Some performance verification features do not require new performance testing data if no relevant changes have been made to the project (for example, if no reprogramming or other changes to usage of space have occurred, new documentation for S03.2 is not required). In these cases, upload the completed recertification tool and assign it to the Performance Test verification method.
